Pay Grade:         PP03 (230 Days)

 

Primary Purpose:

Assist with daily operations of Child Nutrition office, including finance, data entry, compliance, and personnel. In addition to daily interaction and assistance with food service management company, parents, and vendors regarding all areas of Child Nutrition operations.

 

Qualifications:

Minimum Education/Certification:

High school diploma or equivalent

Must be able to speak, read, write, and understand English

Bilingual preferred

 

Special Knowledge/Skills:

Ability to process sensitive information and maintain complete confidentiality

Proficient use of current technology with emphasis on word processing, spreadsheets, and file maintenance

Ability to understand detailed written and/or oral instructions    

Basic understanding of accounts payable and reconciling bank deposits

Ability to meet established deadlines

Working knowledge of computer, calculator, copier and fax        

 Accuracy with numerical calculations and attention to detail

       

 Experience:

Two years or more of office experience with accounting, data entry, and frequent support to office staff

 

Major Responsibilities and Duties:

  1. Enter payment for vendors using the district accounts payable system.
  2. Receive vendor statements and keep organized records for vendor reconciliation of all opened invoices.
  3. Handle department financial reports as follows: reconcile daily bank deposits, post catering payments, and enter daily deposits into online banking system.
  4.  Manage employee uniforms, uniform inventory, distribute uniforms to new hires, and organize orders with the department secretary for all Child Nutrition staff.
  5. Support the receptionist with incoming phone calls, visitors, staff inquiries, work orders, and mail distribution.
  6. Field parent and employee phone calls, emails, regarding student/staff accounts, payments, questions, concerns.
  7. Support to catering department with catering invoices and tracking paid or outstanding invoices.
  8. Oversee employee training hours to meet USDA Child Nutrition employee standards.
  9. Assist with gathering payroll data for all Child Nutrition staff.
  10. Support Human Resources with the following: sick leave records, and absent from duty requests.
  11. Create, edit, and run reports as needed.
  12. Daily support to the Child Nutrition secretary with various duties pertaining to Child Nutrition office operations.
  13. Assist in receiving, mailing, and reviewing Free/Reduced lunch applications.
  14. Assist with scanning and processing students for the MV, migrant, foster, or DC program.
  15. Coordinate safety materials needed at all campuses and Child Nutrition office.
  16. Assist with ordering office supplies and maintaining supplies as needed for all campus kitchens.
  17. File, organize, and coordinate office records along with files sent for retention.
  18. Perform other duties as assigned.

Tools/Equipment Used: Standard office equipment, including computer and copier.

Posture: Prolonged sitting; occasional bending/stooping, standing, pushing/pulling, and twisting.

Motion: Frequent repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching.

Lifting: Occasional light lifting and carrying (15-25 pounds).

Environment: May require occasional irregular and/or prolonged hours.

Mental Demands:  Maintain emotional control under stress.
